Welcome to Scotland Essence Tours. By booking a tour or using our services, you agree to the following Terms and Conditions. These terms exist to ensure transparency, safety, and a high-quality experience for all our clients. Please read them carefully before confirming your booking.

1. Booking Confirmation & Payments

To secure your reservation, a deposit is required at the time of booking:

·         For bookings made more than 90 days in advance, a 20% deposit is required.

·         For bookings made within 90 days, a 50% deposit is required.

·         The remaining balance must be paid no later than 7 days before the scheduled tour date.

Failure to complete payment by the due date may result in cancellation without refund of the deposit.

Payments

All prices are listed in GBP (£). We accept payments via credit card, bank transfer, or secure online payment links. Any transaction or bank fees are the responsibility of the client.

2. Changes & Cancellations

Changes Made by Scotland Essence Tours

We aim to operate all tours as described. However, we reserve the right to make changes or cancellations due to weather conditions, safety concerns, operational issues, or other unforeseen circumstances. If this occurs, we will inform you as soon as possible and offer:

·         An alternative tour of equal value

·         A rescheduled date

·         A full refund if the tour cannot proceed

Force Majeure

Scotland Essence Tours shall not be held liable or responsible for any failure or delay in performance caused by circumstances beyond our control, including but not limited to natural disasters, strikes, war, terrorism, pandemics, or government restrictions.

Changes Requested by the Client

All requests for changes must be submitted in writing by the person who made the booking. While we will do our best to accommodate requests, we cannot guarantee changes, especially at short notice. Changes may incur an administrative fee.

If changes are not possible and the client opts to cancel, cancellation fees will apply (see below).

Bookings may be transferred to another person, provided that:

1.     The replacement meets all original booking conditions.

2.     Written notice is given at least 7 days before the tour.

3.     All associated costs and balance payments are settled.

Cancellation by the Client

Cancellations must be submitted in writing and are subject to the following refund policy:

·         More than 15 days before the tour: Full refund minus a £100 administrative fee.

·         Between 7 and 14 days: The deposit is non-refundable.

·         Less than 7 days or no-show: No refund will be issued.

Refunds may be adjusted if third-party providers (e.g. accommodations or attractions) have stricter cancellation terms.

Cancellation by Scotland Essence Tours

We may cancel a tour due to unforeseen events or safety concerns. In such cases, we will offer an alternative, reschedule, or issue a full refund. Scotland Essence Tours is not responsible for any additional expenses incurred as a result of cancellation (e.g. flights or accommodation booked independently).

3. Special Considerations

Special Requests

Please inform us of any special requests (dietary needs, accessibility, etc.) at the time of booking. While we do our best to accommodate these, they cannot be guaranteed.

Medical Conditions & Accessibility

Clients are responsible for disclosing any relevant medical conditions or mobility limitations before booking. Failure to do so may affect your ability to participate. We are not liable for costs incurred due to undisclosed health concerns.

Children

We welcome children on our tours. Please notify us of their age at the time of booking so we can plan accordingly (e.g. safety seating, pacing).

Luggage Restrictions

Due to vehicle space limits, each passenger is permitted:

·         1 suitcase up to 20kg

·         1 small personal bag

Please let us know in advance if you require more luggage space.

Smoking Policy

Smoking, including e-cigarettes, is strictly prohibited inside our vehicles.

Client Responsibilities

It is the traveller’s responsibility to ensure they are ready on time and to carry all necessary travel documents (passport, visa, etc.). We are not liable for missed tours due to delays or lack of required documentation.

4. Transfers

We offer private transfers to and from major airports in Scotland (e.g. Edinburgh, Glasgow, Inverness). Please confirm availability and pricing when booking.

5. Insurance

We strongly recommend all travellers obtain comprehensive travel insurance covering medical emergencies, personal liability, cancellations, and lost items. Scotland Essence Tours is not liable for expenses resulting from lack of insurance.

6. Liability Disclaimer

Scotland Essence Tours shall not be held liable for injury, loss, damage, accident, delay, or irregularity arising from any act or default of any company or person engaged in carrying out the tour. Participation in all activities is at the traveller’s own risk.

7. Complaints & Feedback

If you have a concern during your tour, please speak to your guide immediately so we can resolve the issue. Formal complaints must be submitted in writing within 7 days after your tour.

8. Data Protection

Scotland Essence Tours complies with the UK General Data Protection Regulation (UK GDPR). Your personal data is used solely for processing bookings and delivering services. It will not be shared with third parties except where necessary for your tour (e.g. hotels, activity providers).

9. Media & Promotional Use

During tours, we may take photographs or videos for promotional purposes. If you do not wish to appear in any images or media, please inform your guide at the start of the tour.

10. Governing Law

These Terms and Conditions are governed by the laws of Scotland and the United Kingdom. Any disputes shall be subject to the jurisdiction of the Scottish courts.
